11-Oct-2007

Called To Order @7:05   –   Moved to Social @8:31

  • Canna Rock Discussion

    • Ed R. was supposed to meet us for the Rock pickup last Tuesday

    • Crane Truck met w/ Ed at rock location

    • Ed told us they can't bring the rock today – apparently Ed is no the owner/person for doing the engraving

    • Can't be ready by the 13th – need a minimum of 2 weeks to do the engraving work

    • New rocks are available @ Goodrich pit – Brett will go look at them.

    • Ed R. is in touch with Steve P. on when he can do it – Bill N. or Mel B. will have to contact Steve on the subject – Steve P. or Mel B. need to update the club on this.

    • Donation input for the night: $113

  • Fall Festival

    • We DON'T have a band yet

    • Nov 3rd date – both Hat Trick and Black Cat Bone can not do it

    • If we can't get a band – we can use a DJ

      • Darla has DJ info – est cost is $250

      • Jeremy knows of a DJ who will do it for “free”

      • Both are going to check their availability for Nov 3rd

    • Can also look into Primal Scream as a band

    • Paula B. still has not found the leftover t-shirts from last year – need to find out how many we need to order for this year – also not sure of how long it will take to get more now that they have the master done, and we just can order additional units.

    • Darla is waiting on Mel B. for logo on getting koozie quote – estimated to get about 500 – Bill provided her the logo she needed.

    • Need to have an extra meeting next week to complete the prep discussion on the party – special meeting 18-Oct-07

    • Still need a headcount for how many children are going to the party so we can buy the right amount of craft supplies.

    • Food

      • Everyone should either bring Chili for the cook-off – or bring a dish/food to share.

      • Stared a sign-up sheet for food and snacks

    • Donations

      • Long discussion on how to keep this a fund-raiser – had conversations on having people buy a t-shirt to get in. People like the idea of driving up t-shirt sales, and getting funds for the club – but nobody likes the idea of making it mandatory.

      • Voted on “Fundraiser Suggested Donation” - If you donate at least $15 to the club, you get a t-shirt and koozie.

    • Raffles / Prizes

      • Jeremy will work on getting gifts from local establishments like Culley's Poor Farm, Higgin's, etc.

      • Ken will create an invite poster – we can use these for inviting people who make donations, as well as distributing to the land-owners.

      • Members can donate their own stuff for raffles – Club will purchase gifts depending on how much we get for free. - Members can donate balloons, helium, stuffed animals etc.

      • Should note Walmart will do non-profit gift matching – but we must apply before the fund raiser – perhaps for next year – or perhaps we can look into this for the 2nd annual poker run – nice way to double up our good-cause donation.

      • Eileen will get gifts from Walmart if possible.

      • Quick finance check on what we may have available for prizes

        • $2700 – 656 – 128 (Sam dues/passes/etc) = $1916

        • $1916 – 750 (Band) = $1166

        • $1166 – 350 (Tshirts) = $816

        • $816 – 100 (Tables/Chairs) = $716

        • $716 – 100 (koozies) = $616

        • So – seems we have room to spare for prizes if we need to spend $100-$200

        • Wait till next (special) meeting to make a prize expense decisions

      • All set for Tent

  • Trails

    • Fixed bridge by Billy A. house – came out very nice with on/off ramps

    • Page Street trail still needs a walk-through to mark the new trail behind Tommy M. house – Tom will meet with owner there and flag the trail.

      • Bill will check on whether he wants to do this Saturday or not

    • Can clean up section between 2A and Page st

    • Have snow-fence for Rt 13 area – but need to talk to land owner to make sure they are still ok with the trail/bridge where it is. (also need to cut tall grass/weeds – right now, can't see ditch or bridge)

    • Other areas

      • Cowdry needs to be looked at and cleaned up – Conservation Committee ok'd us re-decking the bridge there – Bobby will be re-decking this as part of his Eagle Scout project (So nice to have so many Boy Scouts in the Club!)

    • Need to work on mapping the trails – Wally wants a map.

    • Bridge needs to be rebuilt behind Mike and Sue B. - could be as long as 72 feet – need to put stone pylons and build on that – water gets high and flows through there – the beaver dams are causing quite a problem there. - Will need to get pallets for the decking – Jeremy thinks he may be able to cover the beams (the club will reimburse).

  • Groomer

    • Machine – waiting on Mel B. - still looking for donations on the sled – we have collected about $400 so far towards it.

  • Bylaws

    • Distributed proposed bylaws – everyone should review them so we can vote on them at the next regular meeting (25-Oct-2007).

    • Can get a copy of the bylaws from Jeremy – jmb14677 (at) verizon.net
